3.1 Understanding Driver Statuses

Each driver in your fleet has a status that tells you where they are in the invitation and acknowledgement process.

Status definitions

  • Pending — the invite has been sent but the driver has not yet acknowledged the regulations.
  • Active — a legacy status from migrated accounts indicating an active driver record.
  • Acknowledged — the driver has reviewed and acknowledged receipt of the regulations. A PDF receipt is available for download.
  • Archived — the driver has been archived by the fleet manager. They lose access to the reader but their records and receipt are preserved.
  • Removed — the driver has been permanently removed. Their record is hidden from the default driver list.

Driver list tabs

The Drivers page has tabs to help you filter:

  • Current — shows Pending, Active, and Acknowledged drivers (your active roster).
  • Archived — shows only Archived drivers.
  • All — shows every driver regardless of status, including Removed.

Archiving vs. removing a driver

Archiving

  • The driver loses access to the regulation reader.
  • Their acknowledgement records and PDF receipts are preserved.
  • You can restore an archived driver at any time from the Archived tab.

Removing

  • The driver record is permanently hidden from your default driver list.
  • You will be prompted to download the receipt before confirming removal so you have a copy for your DQ file.
  • Removing a driver does not free up an invite credit.
If a driver leaves your fleet, archiving is usually the safer choice — it preserves all records while revoking access.
